Event Reservations
To make an event reservable, please follow the steps below:
1. In the Admin sidebar, find and select Events & Timeslots.
2. Select the desired event.
3. Find and click Reservation to enable Event Reservations.
4. Disable Enrollment Required.
5. Disable Guests Can Reserve unless this event is open to the public guest view.
6. Enable Show Reservation Button.
7. Check Enable for all applicable Reservation Types and check one enabled type as the Default.
8. If occupancy should be limited for this event, specify the following:
a. Max Reservations: This number indicates the maximum occupancy allowed for the event.
b. Max Reservations at One Time: This number indicates how many spaces each user is allowed to reserve when making their reservation.
9. If you are using a separate site for reservations (Ex: Eventbrite), paste that URL in the Browser URL field.
10. Customize the Reserve Button Text by typing a value like RSVP, or Sign Up Here. If left blank, the default button text indicates Reserve.
11. Click Save.
Create an Event Reservation ManuallyTo create an Event reservation manually, please follow the steps below:
- In the Admin sidebar, find and select Events & Timeslots.
- Select the desired event.
- Scroll down and click Member Activity.
- Click Manual Reservation.
- Enter the User Email to associate the reservation to an app user. If the user email does not exist, see Create a New User.
- Enter a number for Spots Count. This saves multiple spaces for the event.
- Enter any Notes regarding the reservation.
- Click Reserve.
View Event Reservations
To view Event reservations, please follow the steps below:
- In the Admin sidebar, find and select Events & Timeslots.
- Select the desired event.
- Scroll to the bottom of the event, then click Member Activity.
- Event reservations for that event are displayed here.
Click the people icon from the Events & Timeslots list page to quickly access event reservations.
Export Event Reservations
To export Event reservations for a single event, please follow the steps below:
- In the Admin sidebar, find and select Events & Timeslots.
- Select the desired event.
- Scroll to the bottom of the event, then click Member Activity.
- Scroll to the bottom of this page, then click Export to CSV.
- Open the downloaded CSV file to view the exported reservation list.
To export all event reservations simultaneously, please follow the steps below:
- In the Admin sidebar, find and select Events & Timeslots.
- Click Export All Reservations.
- Open the downloaded Excel file.
- Use the tabs at the bottom of the Excel file to view reservations for each date.
To view the waitlist for all events or pass timeslots, please follow the steps below:
- In the Admin sidebar, find and select Events & Timeslots.
- Click Wait List. This is a compiled list of all users on the waitlist for any future event.
To view a waitlist for a specific event, please follow the steps below:
- In the Admin sidebar, find and select Events & Timeslots.
- Select the desired event.
- Scroll to the bottom of the event and click Member Activity.
- The Wait List for this event is displayed after the list of reservations.
To export a waitlist for a specific event, please follow the steps below:
- In the Admin sidebar, find and select Events & Timeslots.
- Select the desired event.
- Scroll to the bottom of the event and click User Activity.
- Scroll to the bottom of the Users page and click Export to CSV.
- Waitlisted users are noted as Yes in the wait_list column in the exported file.
NOTE
The waitlist is maintained after the event or timeslot has passed.
